POSITION SUMMARY: 

Under the supervision of the Director of Branch Operations Support, the Human Resources Liaison serves as a member of the People Team, providing centralized administrative hiring support to branch leadership in support of part-time staff hiring and pre-boarding processes. This role is responsible for coordinating and executing standardized hiring activities, maintaining required documentation, and supporting system-based workflows to ensure hiring processes are completed accurately, consistently, and in compliance with YMCA policies and applicable state and federal regulations. The Liaison works closely with branch leadership, People Partners, and People Specialists to facilitate timely hiring of part-time staff, while adhering to established procedures and guidelines. 

 

ESSENTIAL FUNCTIONS: 

Hiring & Pre-Boarding Administration 

  • Administers and coordinates standardized hiring processes for part-time staff as directed, including job requisition posting and maintenance, offer letter distribution, background check initiation, I-9/E-Verify processing, and verification of required hiring documentation. 
  • Ensures all hiring activities are completed accurately, timely, and in compliance with YMCA policies and applicable state and federal regulations. 
  • Serves as a liaison between branch leadership and the People Team to support efficient and consistent hiring outcomes. 

Systems & Documentation Management 

  • Provides guidance and training to branch leadership on hiring and pre-boarding workflows within the HRIS system (UKG Ready). 
  • Collects interview documentation, reference check responses, and required hiring materials from hiring managers. 
  • Uploads and maintains complete and accurate electronic employee records according to established timelines. 
  • Monitors completion of new hire requirements including pre-boarding training for assigned positions. 

Transaction Processing  

  • Submits and tracks HR actions related to part-time staff, including new position requests, cost center changes, salary changes, and terminations. 
  • Reviews HR actions for completeness and accuracy prior to submission, following established procedures. 

Communication & Professional Conduct 

  • Maintains clear, timely, and professional communication with branch leadership, People Team members, and staff. 
  • Communicates hiring procedures and requirements in a consistent, positive, and supportive manner. 
  • Maintains strict confidentiality of employee and candidate information. 
  • Serves as an administrative point of contact for employment-related questions and escalates issues to leadership or the People Team as appropriate. 

Organizational Engagement  

  • Participates in required People Team, Branch, and Association meetings and training sessions to maintain current knowledge of processes and systems. 
  • Models YMCA values and relationship-building skills in all interactions. 
  • Supports organizational and community engagement through participation in branch and Association volunteer activities. 
  • Completion of all required annual trainings related to safety, compliance, and child protection as assigned. 
  • Performs other duties assigned by the supervisor. 
     

QUALIFICATIONS: 

  • High School Diploma or GED required and 1+ year of experience in administrative support, HR coordination, or comparable role preferred. 
  • Experience supporting high-volume hiring and familiarity with basic employment processes preferred. 
  • Proficiency with standard office software (e.g., Microsoft Word and Excel) and the ability to learn and navigate HR systems. 
  • Exceptional oral, public speaking, and written communication skills.    
  • Demonstrated commitment to building community and fostering meaningful relationships through mission-driven work and cross-department collaboration. 
  • Experience supporting organizational initiatives and staff development within a team-based, service-oriented environment.  
  • Ability to coordinate projects, workflows, and schedules effectively in a dynamic setting. 
  • Strong communication skills, including written, verbal, and public-facing interactions. 
  • Demonstrates initiative, sound judgment, and strong organizational and time-management skills. 
  • Builds inclusive, mission-driven relationships with youth, families, and community members from diverse backgrounds. 
  • Bilingual or multilingual skills preferred, but not required. 

 

WORK ENVIRONMENT & PHYSICAL DEMANDS: 

The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. 

  • Primarily office and program settings with infrequent interaction in gyms, classrooms, and outdoor spaces 
  • Moderate noise levels; may be louder during youth or community activities 
  • Regular use of computer, phone, and other office technology 
  • Frequent standing, walking, bending, and reaching; occasional lifting or moving up to 40 lbs 
  • Some work performed outdoors in varying weather conditions 
  • Flexible schedule required — may include early mornings, evenings, weekends, and occasional travel between branches or sites 
  • Must be able to provide valid identification for employment eligibility verification.  
  • Must possess a valid driver’s license and have access to reliable transportation.  
  • A clean driving record is required to meet YMCA insurance standards.  
  • Travel between branch and/or site locations, and to off-site meetings and events is required. 
  • Must reside in the YMCA of the Triangle service area (Raleigh-Durham-Chapel Hill and surrounding areas.

Salary & Benefits

This is a full-time exempt position with a salary starting at $43,000, commensurate with experience and qualifications. The YMCA of the Triangle offers a generous benefits package including medical, dental and vision insurance; paid time off; an annual YMCA membership; and participation in the YMCA Retirement Fund, including a 12% employer contribution once eligibility requirements are met.
